Job Description

As an Administrative Assistant at One Day In July, you will play an important role in supporting the firm’s day-to-day operations. This position works closely with clients as well as our compliance and operations teams.

Prior financial industry experience is not required. We are looking for someone exceptional who demonstrates initiative, attention to detail, and a strong work ethic. We provide on-the-job training.

Core components of our mission:
  • Fiduciary standard: One Day In July is legally and ethically obligated to act in our clients’ best interest. (Only 12% of individuals in the securities industry are registered in a way that requires them to be fiduciaries on all accounts.)¹
  • Competitive pricing: Our fees are typically lower than many competitors’, positioning the firm to win on value while continuing to grow and take market share.²

In this role, you will:

  • Function independently as the primary in-office presence in our Bennington location.
  • Act as front desk reception: greet guests, prepare meeting spaces, and manage deliveries.
  • Serve our existing and prospective clients by preparing outbound mail, fielding incoming calls, and coordinating time to complete paperwork and account-related tasks.
  • Maintain accurate client records and organize communications in both digital and physical files.
  • Identify errors or inefficiencies and take corrective action.
  • Track priorities and manage deadlines across multiple workflows.
  • Assist with local event planning alongside the marketing team.

A strong candidate will:

  • Be comfortable working independently in a quiet, single-person office with remote supervision.
  • Communicate proactively, especially regarding workload capacity and priorities.
  • Possess excellent organizational and communication skills (both written and verbal) and a high standard for attention to detail.
  • Be proactive and self-motivated — identifying problems and acting without being asked.
  • Be able to “wear multiple hats” and quickly adapt to changing priorities.
  • Maintain consistent productivity and ownership of responsibilities.
  • Be proficient in Excel, Word, Gmail, and web-based tools.
  • Think in terms of process, accuracy, and risk awareness.
  • Bring a positive attitude, resilience, and strong prioritization skills.
  • Uphold strict confidentiality and ethical standards.
  • Show curiosity about financial concepts and a willingness to learn.
  • Align with our philosophy of low-cost, diversified index investing.

What's in it for you?

  • The opportunity to do meaningful work, including striving to help people make better financial decisions.
  • Exposure to multiple areas of an investment advisory firm, including operations, marketing, software development, and investment strategy.
  • A role within a growing, mission-driven firm.
  • A low-meeting, high-productivity work environment.
  • A collaborative, respectful team culture.
  • The ability to build deep expertise across key operational functions.
  • Enjoy a beautiful office in the center of downtown Bennington.

Salary

  • $20-25 per hour commensurate with experience.

Hours / Location

  • This job is part time, with a minimum commitment of 25 hours each week.
  • This job is fully in-person in Bennington, Vermont.

Benefits

  • 401k plan with low-cost index funds and One Day In July strategy embedded. No high fee funds (this matters greatly, as you’ll learn if you work here)! Available after meeting eligibility requirements.
  • 401k match. Available after meeting eligibility requirements.
  • An excellent Mac laptop with a fast processor and retina screen, a sit-down / stand-up desk, comfortable working space, and other resources for top productivity. Our employees are not cogs in a machine and we don’t treat them that way.
  • A plant for your desk (sometimes it’s even alive).

To Apply

Please send the following to Jenny O’Brien at careers@onedayinjuly.com.

  • A resume in PDF format.
  • A cover letter in PDF format. In your cover letter, let us know what is unique about you that we should know. Additionally, in your cover letter, include at least one paragraph explaining what makes you stand out from other applicants. We are looking for previous demonstrations of excellence and commitment, and the more granularity you can provide, the better.
  • In addition to your cover letter, submit a one-page, single-spaced PDF. On the top half, describe a situation where you identified a problem or inefficiency and developed a solution or a time where you had to challenge an established process or policy. What was the problem, how did you approach the situation, and what was the result? On the bottom half, tell us what you feel are the most important aspects of client service. We want these answers from you, not AI.
  • The Job ID at the top of this posting should start the subject line of your email.
